ABOUT THIS JOB

As the Administrative Officer, you will support the day-to-day administrative operations of the organisation. This role ensures that internal processes, documentation, and office systems run efficiently.

You will be responsible for managing records, supporting coordination across departments, handling logistics, and maintaining operational structure. Your role will also involve ensuring consistency, organization, and efficiency across administrative functions.

RESPONSIBILITIES

Office Operations & Systems Management

  • Oversee day-to-day office operations, ensuring structure, efficiency, and continuity
  • Manage office facilities, equipment, supplies, and vendor relationships
  • Ensure proper maintenance of office infrastructure and operational resources
  • Maintain compliance with internal administrative standards and procedures

Coordination & Support

  • Coordinate meetings, schedules, and internal communications across teams
  • Support departments with administrative, logistical, and documentation needs
  • Prepare internal correspondence including memos, letters, and notices

Documentation & Records

  • Maintain accurate physical and digital records across the organisation
  • Ensure proper filing, archiving, and retrieval systems are consistently updated
  • Support preparation of internal reports, summaries, and documentation

Inventory & Asset Management

  • Track office inventory, procurement processes, and asset registers
  • Monitor usage and ensure proper accountability of organisational resources
  • Support procurement coordination with relevant stakeholders

PERSON SPECIFICATION

Education

Bachelor’s degree in Business Administration, Public Administration, or related field.

Experience

  • Minimum 3–5 years administrative experience.
  • Experience in structured office environments is an advantage.

Skills and Competencies

  • Strong organisational and multitasking skills.
  • High attention to detail.
  • Proficiency in Microsoft Office Suite.
