Job Title: Personal Assistant

Location: Onikan, Lagos State

Industry: Construction

Salary: 250k

A Personal Assistant (PA) to a Managing Director in a construction company provides high-level administrative support, manages the executive's calendar, coordinates project logistics, and acts as a key liaison between the MD, site managers, contractors, and clients to ensure seamless daily operations.

Key Responsibilities

  • Diary Management: Organize the MD’s schedule, schedule site visits, and prioritize urgent meetings.
  • Gatekeeping: Screen phone calls, inquiries, and visitors, directing them to the appropriate construction departments.
  • Correspondence: Draft, review, and send emails, letters, and memos on behalf of the MD.

Construction Operations & Project Coordination

  • Meeting Preparation: Compile reports, project updates, and agendas for board or site meetings; take and distribute accurate minutes.
  • Liaison: Act as the primary point of contact between the MD, project managers, engineers, subcontractors, and external clients.
  • Document Control: Assist in managing construction contracts, architectural plans, and regulatory compliance documents.

Travel & Logistics

  • Travel Arrangements: Book flights, local transport (such as for cross-Lagos commutes to project sites), and hotel accommodations.
  • Event Planning: Coordinate internal corporate events, groundbreakings, or client site tours.

Financial & Expense Management

  • Expense Tracking: Collect receipts, process expense reports, and manage petty cash or project-related expenditures.
  • Vendor Coordination: Manage procurement requests for office supplies or specific administrative requirements for the MD's office.

Core Requirements

  • Education: A Bachelor's degree in Business Administration, Secretarial Studies, or a relevant discipline.
  • Experience: Typically 3+ years of experience in executive support, preferably within the real estate or construction industry.
  • Technical Skills: Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and digital office tools (e.g., Google Workspace, Trello).
  • Industry Knowledge: Familiarity with construction terminology, permitting processes, and procurement cycles is highly advantageous.

Essential Soft Skills

  • Discretion: High integrity and ability to handle confidential and sensitive company data.
  • Problem-Solving: The ability to make quick, independent decisions to resolve scheduling conflicts or project hiccups.
  • Communication: Excellent verbal and written communication skills to articulate instructions clearly across various tiers of workers.
