Finance and Billing Officer

Department: Finance and Billing.

About the role

We are seeking a Finance and Billing Officer to maintain accurate operational records and resolve subscription billing issues. You will reconcile receipts and provider statements, coordinate invoices and adjustments, support payroll administration and provide clear cash and obligations reporting.

This role requires careful investigation, confidentiality and strong follow-up. You will work with HR, Sales, Customer Success, existing payroll colleagues, payment providers and external accounting advisers.

Key responsibilities

Verify subscription billing against approved pricing, orders and provider records.

Respond to verified customer billing enquiries and investigate discrepancies.

Coordinate failed-payment follow-up, invoice corrections and approved adjustments.

Prepare refund or credit requests with supporting records for designated approval.

Track disputes, provider requests and evidence deadlines.

Reconcile settlements, fees, invoices, adjustments and bank receipts.

Maintain vendor invoice schedules and payment preparation records with approval evidence.

Produce regular reports on cash, expected obligations and unresolved differences.

Coordinate approved payroll inputs, start dates and benefits changes with HR and payroll colleagues.

Maintain secure financial records and support month-end accounting requirements.

Apply payment verification and approval controls and escalate suspected fraud or unauthorised changes.

Refer specialist accounting or tax questions to qualified advisers.

Required qualifications and experience

At least 3 years in finance operations, billing, bookkeeping or accounting support.

Relevant finance or accounting education, training or equivalent demonstrable experience.

Strong reconciliation, spreadsheet and record-management skills.

Understanding of invoices, payment-provider fees, settlements and subscription billing.

Ability to investigate differences and maintain a clear resolution trail.

Familiarity with payment approvals and confidential payroll information.

Professional communication with customers, providers and internal colleagues.

Preferred experience

SaaS billing, international payment reconciliation, merchant-of-record settlements and coordination with external accountants.

What success looks like

Maintain timely reconciliations, reliable cash reports and accurate approval records. Customer billing and payroll queries have named owners, clear evidence and prompt follow-through.
